Create Event and Exhibition Equipment Label
A dispatch label for exhibition and event kit, with room for the receiving team, venue address, stand or room and equipment-box numbering.
Event equipment often needs to reach a specific stand, room or organiser within a venue. This design gives the destination a clear address block and uses the note for concise event context. Confirm the receiving arrangements before sending kit; a printed event name does not create a delivery slot.

Distinguish the venue from your place inside it
Write the complete venue address so the parcel can reach the right building, then identify the stand, room or receiving team in the note. Include an event name that venue staff will recognise, especially when several bookings share the same site. If equipment must go to a loading entrance rather than public reception, confirm how that should be communicated before printing. Keep a long unloading schedule or access procedure with your dispatch instructions. The label should help identify the kit when it is read quickly, not attempt to replace the venue's delivery guidance.
Make the return journey less confusing
A box marked for an event may later need to come back to your office. Keep your own equipment list and references consistent so you can recognise the set after dismantling. A short box number in the note can help distinguish similar cases. Generate each numbered label separately, and prepare a fresh destination label for the return trip rather than leaving two conflicting addresses visible. This template does not track equipment, record a handover or book a collection. Those steps still need your event team's records and transport arrangements.
Before the event kit leaves
- Confirm the correct venue receiving address.
- Add the recognisable event name and stand or room.
- Check any delivery-window arrangements separately.
- Use consistent equipment and box references.
- Plan a fresh label for the return destination.
A scannable reference for a familiar equipment record
Use an event or kit reference that links to your existing packing list. The barcode returns that value; it does not create an equipment database or prove that the venue received the box. If a QR points to a public setup guide, check access and the exact destination before sharing it on the outside of the equipment case.
The generator creates QR codes and Code 128 barcodes locally. Both use your reference by default; optional custom QR text can instead contain your own short URL or text. A blank reference produces a stable internal ID derived from the submitted label details. These are your identifiers, not official carrier tracking numbers. The tool does not buy postage, reserve a shipment or send the encoded data to a code-generation service.
Print for a busy receiving desk
Use the single 4 by 6-inch label when a matching flat area is available. Keep the event and stand note brief so it can be read alongside the recipient. Landscape sheet options repeat the same equipment-box details for duplicate copies, rather than advancing through a numbered set. Print at 100 percent, inspect the venue address and test a code after trimming. Avoid applying the label across a case latch or a seam that will split it on opening. Retain any labels or delivery paperwork required by the venue or carrier.
Event equipment questions
Can I add a stand number and a box number?
Yes. Use the short note for a concise combination such as "Stand B12 / Box 1 of 4." Review the preview and keep longer setup instructions in your event paperwork.
Does this arrange delivery to an exhibition?
No. Agree the delivery address, access and timing with the venue and transport provider. This template presents the information you enter; it does not reserve a slot or organise collection afterwards.
