Why landlords and tenants both need a rent receipt

Rent is usually the largest regular payment in a household budget, and also the one that is most often remembered differently by two people. A tenant says the March rent was paid in cash on the third; the landlord has no note of it. A bank transfer turns up with no reference. A letting agent is replaced and the old records disappear. A simple receipt, issued each time, prevents all of these small disputes before they begin.

For tenants, a stack of receipts is evidence of a good payment history when applying for a new tenancy, a loan or a visa. For landlords, it is a tidy record of income that makes the annual accounts far easier. This template makes both easy, and gives the page a friendly character: a header skyline of little houses, a cream background, and serif lettering that feels like a household document rather than an office form.

What the receipt shows

Reading from top to bottom, the page presents:

  • the words RENT RECEIPT, with the receipt number, the date and the landlord’s name and contact details inside the coloured header;
  • who the rent was received from and the rent period it covers;
  • the address of the rented property, which may run to two lines;
  • how it was paid and on which date it was received;
  • a small table with the rent, an optional second charge and a highlighted Total Received line, followed by the total in words;
  • an optional line for a balance still due;
  • a note to the tenant and a signature line for the landlord or agent;
  • a footer reminding readers that the receipt records a payment and is not a tenancy agreement.

Completing the form

Landlord and tenant

Enter the landlord or agent name and a single line of address or phone number. Then give the tenant’s name exactly as it appears in the rental agreement, and the full address of the unit, including any flat or apartment number.

The payment

The rent period is free text, so write it however you prefer: “1 Oct - 31 Oct 2026”, “October 2026” or “Quarter 4”. The rent amount is the sum paid for that period. If the tenant also paid for something else, such as parking, a storage cage, a late fee or utilities, give it a name and an amount in the two “other charge” boxes and it is added to the total.

Balance and method

If the tenant has paid only part of what is due, type the remaining sum in Balance Still Due. Type 0 to show that nothing is outstanding, or leave it empty to omit the line. Choose how the money arrived (cash, cheque, bank transfer, online payment, money order or other) and add a reference such as a cheque number.

Note and signature

The note might say when the next payment is due, or thank the tenant for paying on time. Landlords can draw a signature on the pad; leave it blank and sign the printed page by hand if you prefer.

Good record-keeping habits

  • Create a receipt for every payment, including partial ones and deposits, even when the tenant pays by bank transfer.
  • Number receipts in sequence for each property so that gaps are obvious.
  • Record the period the rent covers, not just the date it arrived. A payment made late for last month is not the same as this month’s rent.
  • Keep a copy of every receipt, whether on paper or as a PDF, for as long as the records may be needed for tax or disputes.
  • Write the property address in full. A receipt that says “rent” with no address is much weaker evidence than one that names the unit.

Three colour themes

Brick and cream is the classic homely palette. Slate blue and gold looks more formal, a good match for agents and property managers. Olive and terracotta is earthy and relaxed. The background tint covers the whole page, so for draft copies or to save ink you may prefer to print in greyscale.

A word about legal status

This receipt records that money was received. It does not replace a tenancy agreement, and it does not by itself satisfy any special rules your area may have for rent books or deposit protection. Landlords should check local rules and, where in doubt, take advice from a qualified professional.

Questions people ask

Can a tenant use this to prove they paid?
It is useful supporting evidence, especially when signed by the landlord. Bank records add further proof.

Can I record a security deposit with it?
Yes, enter the deposit as the “other charge” and mention it in the note, or use the period box to say “Security deposit”.

What if the rent changes?
Simply type the new amount; each receipt is created fresh.

Does it need a logo?
No. This design uses the little houses as its emblem.

Can I print a batch for the year?
Create one receipt per month and save each PDF with the month in its name.
