Create Customer Return Address Label
A clear customer-return destination with sender details, the original order reference and optional codes for identifying a parcel when it comes back.
Returns are easier to recognise when the package carries the right destination and enough context to connect it with an order. This layout puts the returns recipient prominently below the customer's sender details. It creates an address label for the return process you already operate, rather than promising prepaid return shipping.

Write the address for the team receiving returns
Use the receiving business, returns department or named desk that actually handles incoming goods. A shop's public address may differ from its returns facility, so check your own instructions before making a customer-facing label. Include the unit, building and postal code that the receiving team needs. The customer goes in the sender section so the parcel can be associated with the person sending it back. Keep a short order reference visible even when you also choose codes; someone opening the return may be working from a printed list rather than a scanner.
A return address is only one part of the conversation
If a customer needs approval before sending an item, communicate that through your existing process. The label does not approve a refund, verify eligibility or calculate return postage. Use the note for one concise piece of context, such as the original order number, and put longer packing or condition instructions in the message that accompanies it. When a return destination changes, generate a new PDF rather than asking a customer to cross out part of an old address. Review the finished file from the customer's perspective before sharing it.
Before sending a return label to a customer
- Confirm the correct returns facility.
- Use the customer as the parcel sender.
- Match the reference to the original order.
- Explain postage arrangements separately.
- Keep approval and packing instructions easy to find.
Match the incoming parcel to a known order
A barcode carrying the original order number can help your receiving process find the corresponding record. It does not perform that lookup by itself. If you provide a public return-instructions page, a custom QR can point there while the barcode retains the order reference. Test the printed codes with the software your team intends to use.
The generator creates QR codes and Code 128 barcodes locally. Both use your reference by default; optional custom QR text can instead contain your own short URL or text. A blank reference produces a stable internal ID derived from the submitted label details. These are your identifiers, not official carrier tracking numbers. The tool does not buy postage, reserve a shipment or send the encoded data to a code-generation service.
Give the returning customer an easy print choice
The single PDF is a 4 by 6-inch label. A customer using an ordinary printer can choose a landscape A4 or US Letter sheet and trim a copy using the marks. Tell them to print at actual size and keep the address and codes on a flat surface. The repeated sheet contains identical return details, so unused copies should not be mistaken for labels for a different order. Check your reply message as well as the PDF: the customer should understand who arranges the carrier service and which documents, if any, belong inside.
Customer-return label answers
Is this a prepaid returns label?
No. It is a printable return address and reference label. Arrange postage or a booked return through your shipping provider, and give the customer the official carrier label when your process requires one.
What if the return needs an authorisation number?
Use the RMA Authorised Return Label if your receiving process is organised around an RMA. This simpler customer-return design is useful when the original order reference is the main identifier.
